Review Process

The steps of the reviewing process are as follows:

1. Submission of Paper

Authors must submit either full papers or abstracts through the EasyChair online submission system by the official deadline. All submissions must:

2. Initial Screening

Upon receipt, the Organizing Committee conducts a preliminary screening to ensure that submissions:
  • Adhere to the required formatting guidelines;
  • Demonstrate thematic relevance to the conference;
  • Pass plagiarism checks using Turnitin or equivalent software.
Papers that fail to meet these criteria are subject to immediate rejection without external review.

3. Reviewer Assignment

Submissions that pass the initial screening are assigned to two independent reviewers with appropriate subject-matter expertise. Reviewer selection is based on alignment with the topic area and disciplinary relevance. The evaluation follows a double-blind peer review process, ensuring impartiality and academic integrity.

4. Peer Review Evaluation

Reviewers assess the submissions based on the following criteria:
  • Originality and novelty of the research;
  • Methodological robustness and clarity of data presentation;
  • Quality of writing, figures, and tables;
  • Relevance and contribution to the field and conference themes.

Each review includes:
  • A set of scores on key quality dimensions;
  • Constructive written feedback;
  • A recommendation categorized as:
    • Accept
    • Minor Revisions
    • Major Revisions
    • Reject

5. Editorial Decision and Author Notification

The Editorial Committee makes the final decision by synthesizing reviewer evaluations. Authors are then notified via the EasyChair system or email. Possible outcomes include:
  • Accepted for presentation;
  • Conditionally accepted (pending satisfactory revisions);
  • Rejected (with reviewer feedback provided).

Only papers receiving acceptance or conditional acceptance proceed to the presentation and publication stages.

6. Conference Presentation

Authors of accepted or conditionally accepted papers are required to present their work during the conference, through one of the following formats:
  • Oral presentation
  • Poster session
⚠️ Presentation is mandatory. Papers that are not presented will be excluded from the final published proceedings.

7. Post-Presentation Revisions and Appeals

Following presentation, authors must submit:
  • A revised manuscript addressing reviewer comments;
  • A point-by-point response letter summarizing changes and justifying revisions.

In case of a rejection, authors may submit an appeal to the Editor-in-Chief. Appeals will be considered only when procedural irregularities or evidence of unfair treatment can be substantiated.

8. Final Acceptance and Publication

Once all revisions are approved, the final manuscript undergoes:
  • Formatting in compliance with AIP Publishing standards;
  • Batch compilation of all accepted papers;
  • Official publication and indexing by AIP Publishing as the conference proceedings.
